Workshop Policies
Please read my Deposit and Cancellation Policies before sending a deposit. Feel free to email Dave with any questions.
David Julian Photography LLC will be referred to as DJPLLC below.
 
Deposits: To reserve your spot in any of our group workshops or photo tours, a non-refundable deposit is required. For workshops held at places like Maine Media Workshops or Santa Fe Workshops, their own policies apply, so the info below doesn’t cover those. Keep in mind that international workshops often have significant upfront costs that we can’t always get back, but we do our best.
If a domestic workshop gets canceled, we might let you apply your deposit to a future workshop, depending on the situation, our cost recovery, and if we can replace you without extra expenses.
Balances: The remaining balance is due about 2-3 months before the workshop starts (unless stated otherwise). Refunds are only possible in certain cases where we can still run the workshop without incurring non-recoverable expenses. So, please double-check your schedule before committing. If I don’t get your balance payment by the due date, I’ll try to fill your spot from the waiting list. If your spot gets filled, you’ll lose your deposit. If not, you can keep your spot by paying the balance.
Cancellations and Changes: We (DJPLLC) might need to cancel or change a trip, tour, or workshop if we don’t have enough participants or if something beyond our control makes it unsafe or undesirable. If we do cancel, we can’t promise refunds, credits, or re-booking. We might reschedule, offer a credit for a future workshop, or give a refund minus any non-refundable deposits and administrative fees. This is entirely up to us. We won’t be liable for any costs you incur related to the trip, tour, or workshop.
This is why it’s super important to get full trip insurance. It usually covers travel, lodging, and tour costs like cruises, workshops, classes, etc. Make sure to read the fine print!
Other: By joining one of our workshops, you agree to not hold DJPLLC, its employees, or volunteers responsible for any personal injury or loss during the trip. This is a self-guided travel experience, so you’re in charge of your own safety at all times. When you sign up, you’re confirming that you’re in good health and don’t have any conditions that could put you or others at risk. Only you know your limits, so don’t push yourself too hard. It’s up to you to decide if a location is safe for you.
 
We might cancel a workshop if we don’t get enough sign-ups (usually if we’re two people short of the total spots available, unless stated otherwise). If that happens, we’ll refund all the money collected. However, if you cancel and it causes the workshop to be canceled due to low numbers, your deposit and any money paid won’t be refunded. We don’t offer credits for non-refundable deposits, but we’re willing to discuss each situation with understanding and consideration for both your needs and our business realities.
 
Travel Insurance: We highly recommend getting good travel insurance. If your trip gets canceled for any reason beyond my control, you won’t get a refund from me, and you’ll need to go through your travel insurance provider. InsureMyTrip Insurance Services has a bunch of plans, including “Cancel for Any Reason Coverage,” which lets you cancel for reasons like sudden work or family obligations, or even just a change of mind. Just remember, many plans require you to buy insurance within 14 days of me cashing your deposit check or charging your credit card. Always read the fine print, even with reputable companies like TIS. There are other options too, like Allianz Travel Insurance Co or InsureMyTrip. Make sure to thoroughly check out any company you choose. I don’t get any kickbacks from these referrals.
 
Lodging: On most trips, you can get a single room for an extra fee. If we can’t find you a same-sex roommate, you’ll have to pay the single supplement fee. Also, if you snore or stay up late working or talking, you should request a single room unless your roommate is cool with it. It’s only fair to your fellow travelers. If you’re booking your own lodging, this doesn’t apply!

What we do: Most workshops include morning and afternoon photography sessions, adding up to six hours or more (weather permitting). You’ll get in-the-field instruction, a meet and greet, and/or an introductory slide show the evening before the tour starts, plus a critiquing session. International trips might have a different schedule. You won’t have to work in Manual Mode, but it could be helpful. You should know how to use your camera (like changing ISO, aperture, and shutter speed) and any gear you bring, including mobile devices. These workshops aren’t basic camera or computer courses, so if you need that, check online or contact Dave for one-on-one help.

Non-photographer spouses/companions: They can join any workshop, tour, or safari at full price. We’ll do our best to provide info on other places to visit if they don’t want to stick with the group.
Weather and Unforeseen Issues: There are no refunds for delays or cancellations due to weather or other unforeseen issues before, during, or after the workshop. DJPLLC isn’t responsible for any extra costs from weather delays, flight issues, visa problems, or other unexpected events.
Numbers: We might take one or two extra people if our vehicles and lodgings can handle it. This won’t affect your learning or travel experience.
We might bring in assistants or co-leaders for any workshop, tour, or event. If something unexpected happens to me, like an accident or any other reason that keeps me from attending, I’ll find a suitable replacement. Also, if there are extraordinary events, government issues, extreme weather, or other conditions, I might need to cancel or postpone the trip.
All workshops, tours, and excursions might have changes in the itinerary, and we’ll handle any unexpected situations as best as we can. Changes in foreign currency exchange rates and fuel surcharges before the trip departs will be added to the final balance. Please note that overseas trips might have price adjustments. Photo tours postponed due to unforeseen issues, including Covid delays, will be subject to price increases if applicable.
If you need to switch workshops, a 15% administration fee might apply. Written notification is required and must follow the time limits mentioned above.

For foreign workshops, we face significant upfront costs that are not recoverable, but we’ll do our best to recoup what we can whenever possible.
If a domestic workshop needs to be canceled, we may, at our discretion, be able to apply your deposit to a future similar workshop. This decision will depend on our ability to recover costs and replace you without additional expenses.

In the rare event we must cancel a workshop, refunds, credits, or re-booking are not guaranteed. However, we may choose to reschedule, issue a credit for a future workshop, or provide a refund minus any non-refundable deposits or administrative fees. This decision is solely at our discretion. DJPLLC will not be liable for any other costs incurred by participants related to the trip, tour, or workshop.
That’s why purchasing comprehensive trip insurance is highly recommended. This insurance typically covers travel, lodging, and other tour-related costs such as cruises, workshops, and classes. Please read the fine print carefully to ensure you’re covered!
Other Considerations: By joining one of our workshops, you agree to hold DJPLLC and its employees and volunteers harmless for any personal injury or loss that may occur during the trip. These are voluntary travel experiences, and you are responsible for your safety at all times. By signing up, you certify that you are in good general health and do not have any physical or other disabilities that could endanger yourself or others. Only you know your physical abilities, so please don’t push beyond your limits. You alone are responsible for deciding if a location is safe for you.
We reserve the right to cancel any workshop that doesn’t meet the required minimum enrollment (usually two fewer than the total available spots unless noted otherwise). If this happens, all money collected by non-canceling parties will be fully refunded. However, if you cancel your spot, the workshop will be forced to cancel due to low numbers, so your deposit and any money collected will remain non-refundable. Given that, we handle these situations with realistic understanding, balancing both our business realities and your circumstances.
Travel Insurance: we strongly recommend purchasing quality travel insurance. If your trip is canceled for reasons beyond our control, you will not be entitled to a refund, and your only remedy will be with your travel insurance provider. InsureMyTrip Insurance Services offers a variety of plans, including “Cancel for Any Reason Coverage,” which expands the list of covered reasons to include sudden work or family obligations or even a change of mind. Many plans require you to purchase travel insurance within 14 days of your deposit being cashed or your credit card being charged. Always read the fine print carefully. Many other companies, such as Allianz Travel Insurance Co., offer similar services, so it’s best to thoroughly check out any company you consider. Please note that I have no financial ties to these companies and do not benefit from their sales.

Additionally, if you have a history of snoring or staying up late working or talking, please request a single supplement unless your roommate is okay with it, as it wouldn’t be fair to them. If you’re booking your own lodging, this doesn’t apply!

You should have a good working knowledge of your camera (like how to change ISO, aperture, and shutter speed) and any gear you bring, including mobile devices. Please keep in mind that these workshops aren’t intended to be basic camera or computer courses. If you need help, please contact Dave in advance for 1:1 assistance.

Numbers: We reserve the right to slightly exceed the limit on workshops if our vehicles and lodgings can accommodate it. This won’t affect your learning or travel experience.
We also reserve the right to bring in assistants or co-leaders for any workshop, tour, or event. Additionally, in the event of extraordinary circumstances, government instability, extreme weather, or other conditions, we may cancel or postpone the trip. All workshops, tours, and excursions are subject to itinerary changes, and we’ll handle any unexpected situations to the best of our abilities.
Please note that fluctuations in foreign currency exchange rates and fuel surcharges incurred before trip departures will be applied to the final balance due. Price adjustments may apply to overseas trips, especially those postponed due to unforeseen issues like COVID-19 delays.
If you need to switch workshops, a 15% administrative fee may apply. Written notification is required and must conform to the time allotments stated above.
